New Voice Mail Information

The following are the key pieces of information most people should need to get up and running:

  • Voicemail can still be listened to using your phone, or any phone on campus by dialing x6850.
    • If you are calling from your own office extension, you will be promted for your password to enter the mailbox.
    • If you are calling from a different extension on campus, upon the system answering, press *. It will then ask for your extension number, and then for your password. (see the last section below for more specific directions)
  • From now on, if you have both a voicemail box AND an email box, voicemails will be sent to you as a “.wav” file attachment in an email

If you will be listening to voicemails via your email, note the following:

  • Messages sent by a caller on campus who has a listed voicemail box AND email will come from that user
  • If the user does not have an on campus voicemail and email, such as outside callers,
    the message will come from “Unified Messaging System – mailsvr” Do not delete these, they are VALID emails
  • To listen to the attachment, simply double-click it, and it will play in your default audio application (usually Windows Media Player - Please note: If you are using Mac OS, or an operating system other than Windows, the file format is .wav. You will need an audio application for your system. The IT Services Department only offers support Microsoft Windows)
  • The message lamp on _most_ phones should light up when a message is received, and _should_ turn off when a message is viewed in Outlook or listened to via a phone. If this is not working for you, contact the IT Services Department. We are aware that this does not function for some phones.
  • We will let you know when we have a solution, but please be aware that this will be treated as a non-critical issue, more pressing configuration issues will be dealt with first.

If you will be listening to voicemail from a phone, not via email, here is what you need to do:

  • Call x6850 from the phone that has the voicemail extension you want to listen to OR:
    Call x6850 from any phone, and press the “*” key. You will be asked your ID, which is the extension you want to listen to voicemail for
  • You will be asked to enter your password, which will be 12345 if you have never logged in before
  • If you have not logged into your voicemail, you will need to walk through the first time setup
  • During the first time user setup, the system will prompt you to record your greeting
  • During the first time user setup, the system will prompt you to change your password
  • Passwords must be 5 numbers long, and must not be simple, this means they cannot:
    • Be your phone number
    • Be a string of contiguous numbers, such as 12345, or 54321
    • Be a repetition of the same number, such as 55555
  • To listen to messages, follow the message prompts, they should be fairly self explanatory
